    Place of Work : Catering Sales 

    Scope and General Purpose of Job : To provide leadership in all selling activities within the hotel, working closely with the Rooms, Food and Beverage and other revenue-generating departments to maximise sales through the activities of the Catering Sales Department and other employees.

    Main Duties 

    Administration 

    • Oversees the preparation and update of the Catering Sales Departmental Operations Manuals.
    • Conducts regular departmental communications meetings and ensures departmental briefings and meetings are effective and conducted as necessary.
    • Ensures that an efficient and accurate filing system, both manual as well as electronically is maintained at all times.
    • Utilises technology tools such as Operas Guest History and Reserve to achieve the fullest potential in Catering Sales revenues.
    • Maintains complete and supported records of all Catering Sales Agreements, Contracts and Quotations for the Hotel.
    • Establishes an efficient Catering/Function Sales record to ensure that all businesses booked are properly tracked.
    • Provides accurate reporting of booked Catering/Function to the Sales Coordinator for monthly consolidation.

    Customer Service 
    • Entertains and conducts site inspections to relevant Companies representatives/ Government official / delegates whenever required.
    • Spends time in each function/ event to ensure that the functions/ event are managed well by the Conferences and Banquets team.
    • Liaises and works closely with the related operation departments ensuring guest's requests and expectations are being met.
    • Gathers guests comments and provides feedback to the Food and Beverage, both Culinary and Service ensuring that the quality of the products and services are consistent with guests requirement and expectation.
    • Handles guest and employees inquiries in a courteous and efficient manner, reporting complaints or problems if no immediate solution can be found and ensures a prompt follow-up.
    • Maintains positive guest and colleague interactions with good working relationships.

    Financial 
    • Maximises employee productivity through the use of multi-skilling, multi-tasking and flexible scheduling to meet the financial goals of the business as well as the expectations of the guests.
    • Achieves the monthly and annual personal target and the Catering Sales revenue.
    • Assists with the preparation and regular update of the Marketing Departmental Budget, in close cooperation with the Director of Food and Beverage ensuring targets are met and costs are effectively controlled.
    • Assists with the preparation of the annual Marketing Business Plan ensuring Divisional Objectives fully address business objectives of the hotel and needs of employees.
    • Continuously seeks ways to maximise revenues and profits by cross selling and upselling other facilities and service.
    • Ensures that all hotel, company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to, including the timely and accurate reporting of financial information.

    Marketing 
    • Monitors and analyses the activities and trends of other hotels Banqueting departments and take proactive measures to ensure all events are well organised, innovative and exciting to set us apart from the competitors.
    • Actively courts and develops sales and marketing activities with key industry partners such as travel agencies, convention organisers.
    • Ensures a high level of exposure for Hotel through direct sales solicitation, telephone contacts and written communications.
    • Conducts extensive competitor research and maintains excellent Product Knowledge of the Hotel.
    • Professionally devise routine telemarketing activities to identify new business opportunities.

    Operational 
    • Develops, monitors, and evaluates all catering related objectives, strategies, marketing plan and action plans with the EAM - F&B and Director of Marketing so as to achieve or surpass forecasted revenues.
    • Assists the Director of Marketing to review and evaluate the effectiveness of catering activities and adjust as necessary to achieve or exceed the objectives as outlined in the Annual Marketing Plan.
    • Implements the operational standards as per Hyatt International Operation Manuals, establishing the Hotel as the undisputed trendsetter in Catering creativity.
    • Implements all Catering sales action plans related to responsible areas as outlined in the Marketing plan.
    • Pre-qualifies and targets major Companies, utilising Catering database and develop appropriate and effective sales solicitation strategies to increase Hotels market share.
    • Plans and makes Sales trips to Companies which are our current and potential clienteles to explore into new Catering business opportunities.
    • Ensures that all Catering Sales employees are fully aware of market needs and trends and that their products meet these requirements.
    • Works closely with the Executive Chef on creative suggestions and ideas.
    • Carefully plans Sales Calls into defined objectives.
    • Meets and greets VIP guests upon arrival/departure.
    • Maintains a detailed knowledge of Hotel facilities, features and services.
    • Reviews and constantly seeks Productivity level improvements of all employees through the process of taking work out of the system (when appropriate) and through streamlining of work process.
    • Works closely with other Department Heads in a supportive and flexible manner, focusing on the overall success of the hotel and the satisfaction of hotel guests.
    • Ensures Sales employees work in a supportive and flexible manner with other departments, in a spirit of We work through Teams.

    Personnel 
    • Oversees and assists in the recruitment and selection of all Catering Sales employees; following hotel guidelines when recruiting and use a competency-based approach to selecting employees.
    • Oversees the punctuality and appearance of all Catering Sales employees, making sure they wear the correct uniform and maintain a high standard of personal appearance and hygiene, according to the hotel and departments grooming standards.
    • Conducts annual Performance Development Discussions and supports employees in their professional development goals.
    • Plans and implements effective training programmes, including all required Smart Selling Courses, for employees in coordination with the Training Manager and Departmental Trainers.
    • Maximises the effectiveness of every Catering Sales employee by developing each individuals skills and abilities through the appropriate training, coaching, and/or mentoring.
    • Encourages employees to be creative and innovative, challenging and recognising them for their contribution to the success of the operation.
    • Supports the implementation of The People Philosophy, demonstrating and reinforcing Hyatts Values and Culture Characteristics.
    • Ensures all employees have a complete understanding of and adhere to employee rules and regulations.
    • Ensures employees follow all hotel, company and local rules, policies and regulations relating to fire and hazard safety, and security.
    • Provides feedback on the results of the Employee Opinion Survey and ensures relevant changes are implemented.
    • Oversees the implementation and ongoing monitoring of Personal Business Plans for all Catering Sales employees.

    Other Duties 
    • Is knowledgeable in statutory legislation in employee and industrial relations.
    • Ensures high standards of personal presentation and grooming.
    • Maintains strong, professional relationships with the relevant representatives from competitor hotels and other organisations, including tour operators and local travel agents.
    • Exercises responsible management and behaviour at all times and positively representing the hotel management team and Hyatt International.
    • Responds to changes in the Catering Sales function as dictated by the industry, company and hotel.
    • Reads the hotel's Employee Handbook and have an understanding of and adhere to the hotel's rules and regulations and in particular, the policies and procedures relating to fire, hygiene, health and safety.
    • Attends training sessions and meetings as and when required.
    • Carries out any other reasonable duties and responsibilities as assigned.
